TERMS AND CONDITIONS

These Terms and Conditions apply to all services and products provided or sold by Rovaniemi Insider Oy (Business ID 3397579-5) and Kemijärvi Insider Oy (Business ID 3522178-6), including activities, tours, and accommodation offered through Rovaniemi Insider and Kemijärvi Insider brands, as well as Academy Hotel Kemijärvi.

By booking or participating in our services, you agree to the following terms.

Bookings can be made through our website, Bokun booking platform, or via direct payment links. Full payment is generally required at the time of booking. For larger reservations or special offers, a deposit may be agreed upon separately. All payments and refunds are processed through the original payment method. Bookings are confirmed once payment has been successfully received.

Accommodation (Academy Hotel Kemijärvi and other lodging products)

  • Free cancellation up to 30 days before arrival for stays in December.
  • Free cancellation up to 14 days before arrival for stays at other times of the year.
  • Cancellations made later than these deadlines are subject to a 100% charge of the total booking value.

Activities and Tours

  • Free cancellation up to 24 hours before the start of the activity (local time).
  • If cancelled later or in case of a no-show, 100% of the booking value will be charged.
  • No refund is issued if the customer arrives late or misses the departure due to personal reasons.

If an activity or accommodation cannot be delivered due to events beyond our control — such as severe weather, natural disasters, pandemics, power outages, or government restrictions — we are not liable for refunds.
Customers may seek compensation from their own travel insurance provider.

  • Breakfast may be included seasonally and will always be stated in the reservation details.
  • Cleaning is included in the room rate.
  • Guests are financially responsible for any intentional damage caused to the property.
  • Misconduct, including disturbance to other guests, may result in immediate cancellation of the stay without refund.
Participation in all activities is at the customer’s own risk. Customers must follow all instructions provided by guides and staff. We reserve the right to deny participation if a person is under the influence of alcohol, drugs, or behaving in a way that endangers others or themselves. Rovaniemi Insider Oy and Kemijärvi Insider Oy are not liable for accidents or damages caused by participants’ own negligence or failure to follow instructions. Participants are responsible for their personal belongings. Some activities are operated by third-party partners. In these cases, Rovaniemi Insider and Kemijärvi Insider act only as resellers. The actual service provider is responsible for the execution and safety of the activity.
  • The customer is responsible for providing accurate information during booking (e.g., contact details, number of participants, arrival time).
  • Customers must have valid travel insurance that covers outdoor and adventure activities where applicable.
  • It is the customer’s responsibility to arrive on time at the designated meeting point.

Personal data collected during bookings is used solely for processing reservations and providing customer service.
We comply with the EU General Data Protection Regulation (GDPR).
You can request to view, modify, or delete your data by contacting info@rovaniemiinsider.com

Any complaints must be submitted during or immediately after the service to info@rovaniemiinsider.com

We will aim to resolve the issue promptly and fairly.

If no agreement is reached, disputes will be governed by Finnish law and handled in the District Court of Lapland (Lapin käräjäoikeus).
